Pacific Arts Association Privacy Policy

This Privacy Policy explains how Pacific Arts Association (PAA) collects information from you and how we use that information. The policy applies to the PAA website, pacificarts.org, as well as the web pages used to register for PAA events and symposia.

This policy also applies to other activities and practices of PAA, such as grant programs and conference panel proposals. PAA is the data controller in accordance with the European Union General Data Protection Regulation (GDPR). Occasionally, the PAA webpage or online PAA events may include links to third-party websites. Be advised that this privacy policy does not extend to non-PAA websites. We recommend consulting the policies of third-party websites regarding their collection and use of information.

I. What kind of information does PAA collect?

PAA collects two categories of information on the Website in accordance with this privacy policy.

1] Personally identifiable information. This information may include your name, street address, telephone number, email address, level of education, profession, job title, and credit card information. We only receive this information when a user intentionally gives it to PAA.

2] Non-personally identifiable information. This data can include your web browser type and version, the site that referred you to pacificarts.org, your activity on this website, and the site to which you exit. This information is anonymous, statistical, and collected automatically.

II. How does PAA collect personally identifiable information?

We only collect your personally identifiable information when you knowingly provide it to us. We may receive this information during the following interactions:

1] When you become a member of PAA.
2] When you renew your membership or rejoin PAA.
3] When you register for a PAA Symposium or Event (for example, PAA Currents).
4] When you propose an event for PAA sponsorship (for example, the PAA panel at the College Art Association annual conference).
5] When you make a donation to PAA.

PAA does not store any login credentials you use to register for a PAA event. All payments are processed through PayPal, and PAA does not have access to your PayPal login credentials or financial information. When making membership or event registration payments, website users provide their names, addresses, and payment information to PayPal. PAA’s privacy statement only covers the processing of personal data for which PAA is responsible, namely, contact details for the administration of membership and events. For everything else, those concerned should read PayPal’s privacy statement.

III. How does PAA use personally identifiable information?

We use personally identifiable information primarily to communicate with PAA members. In particular, we compile the email addresses collected via membership payments to update members on upcoming events and publications. We may also contact the email addresses provided during event registration to notify people who enjoy PAA events or for our membership drives.

We do not sell personally identifiable information to third parties. We will only disclose information to third parties in the following limited circumstances:

1] We employ external technologies and contractors who provide specialized services to PAA, including credit card processing, event registration, and website development for PAA. To process membership payments and ensure our emails reach all PAA members, we may, in select cases, need to provide these outside contractors with some of your personally identifiable information. Our agreements with these contractors (data processors under the GDPR) include protections for your personally identifiable information and the understanding that any information provided can only be used for PAA services.

2] Should a circumstance arise in which we believe that disclosing your personally identifiable information is necessary to protect the rights and property of PAA and users of the PAA website, we may do so. We may also disclose personally identifiable information when compelled to do so by international, federal, or state law, or in the event of an audit.

IV. How does PAA collect and use non-personally identifiable information?

Following standard web practices, our website generates “cookies,” small text files that collect non-personally identifiable information (see definition in section I.2). PAA may use this anonymous information when analyzing aggregate user behavior to improve the content and structure of pacificarts.org. We do not use cookies for targeted advertising.

You may set your internet browser to notify you when cookies are in use. You can also adjust your browser settings to disable or delete all cookies. If you turn cookies off, however, certain features of the Website may not function properly.

V. How does PAA keep information secure?

We employ standard security measures to protect your personally identifiable information, including physical security and access restrictions. Only select PAA officers or, on occasion, an outside contractor have access to the information collected on this Website, and only when required to complete a specific task. The PAA website uses the WPLegalPages platform to ensure compliance with global data privacy regulations, including the EU GDPR, CCPA, ePrivacy Directive, LGPD, CPRA, PIPEDA, ePrivacy, VCDPA, UCPA, and CPA.

Please note that transmitting information over the internet always involves risk. Moreover, our security systems are as susceptible to circumvention or breaches as those of comparable websites. Our website has been developed to protect your personally identifiable information, but we cannot guarantee the security of any information you transmit to us. Your use of the PAA website is at your own risk.

VI. Can users access, change, or delete personally identifying information held by PAA?

At any time you can contact us to:

1] Request copies of your personally identifying information that PAA has recorded.
2] Submit corrections and changes to information that we have about you that is incomplete, incorrect, or out of date.
3] Request that we delete your information from our records. Notify us that you are opting out of further PAA communications.

We will respond to these requests to the best of our ability and in accordance with the law. Please be advised that although we may remove your personally identifiable information from our mailing lists, we may be required to retain some records of membership transactions for tax purposes.

VII. Can I Access The PAA Website Internationally?

Our servers and databases are located in Aotearoa New Zealand. We, and our third-party contractors, collect and store the information described above in Aotearoa New Zealand. Laws concerning the storage and use of personally identifiable information in Aotearoa New Zealand may be less protective than the laws in your jurisdiction.

By using the website, you expressly consent to the collection, storage, and use of your personally identifiable information in Aotearoa New Zealand. You are responsible for complying with your local laws, rules, and regulations regarding online conduct and access to the website. If you live in a country where accessing websites based in Aotearoa New Zealand is prohibited, you should cease using the PAA website.

VIII. How will I know if this privacy policy is current?

This Privacy Policy is effective as of October 2025. PAA reserves the right to change this Privacy Policy at any time by notifying users. We may notify you by posting a notice on pacificarts.org or by email. Your continued use of PAA’s services following the posting of changes to this Privacy Policy means that you accept those changes.

IX. What if I do not agree to this Privacy Policy?

By joining PAA as a member or by providing information to PAA in connection with our events and symposia, you agree to this Privacy Policy. If you do not agree to this Privacy Policy, please do not provide your personally identifiable information to PAA. If you have questions regarding this Privacy Policy, please contact us.
